As a Logistics Specialist, you will coordinate the internal & external transport of materials assigned to ship from and return to Clario offices and external depots, provide on-going support in the areas of logistical administration and inventory management. The Logistics Specialist will become proficient in the duties described below and support and train other Logistics Specialists and Assistants.

This position is on-site in Bristol, Pennsylvania, USA Monday through Friday.

What you'll be doing:

  • Coordinate scheduling with production, warehouse and other departments as needed.

  • Coordinate shipments and returns on a daily basis.

  • Track and report shipment tracking information.

  • Monitor, coordinate and process outstanding equipment for return to Clario including. equipment that remains at sites where studies have closed, sites that have closed, or the equipment has been determined as broken or faulty.

  • Create, monitor and process orders.

  • Coordinate shipments of spares and supplies to be used in studies.

  • Prioritize coordination efforts to ensure efficiency and timelines of scheduling.

  • Perform routine data entry and process related paperwork according to established guidelines.

  • Check compliance with the promised shipping/receiving dates and all needed documents.

  • Provide support to internal and external customers for all logistics related issues.

  • Communication with internal departments, external forwarders and customers.

  • Train new employees and mentor trainees and apprentices.

  • Monitor repairs, insurance cases and service orders.

  • Provide country specific documentation for importation and exportation of medical devices and devices used in studies.

  • Develop and improve logistical processes and create standard work instructions and documentation.

  • Support logistics projects.

  • Coordination and processing of logistical processes in cooperation with national and international customers, vendors, carriers and business partners.

  • Monitor and control external inventory.

  • Consolidate monthly invoicing attachments for freight costs per study.

  • Verify freight invoices data.

  • Proceed month end and invoice preparation bookings.

  • Create, coordinate and monitor Shipping Orders through the whole Logistics of Clario.

  • Prepare logistical statistics.

  • Compliance with all company and department policies and procedures and in the maintenance of the high standard of confidentiality with respect to clinical trials.

  • Participates in physical inventory counts, assist on inventory reconciliation and resolve discrepancies.

  • Inventory checks and reports.

What we look for:

  • Knowledge of use of a Material Management or equal in a ERP-System.

  • Inventory checks and reports.

  • Professional in a logistic, forwarding or industrial working environment.

  • Profound knowledge of customs documentation and clearance.

  • +2 years experience in Logistics and/or Warehouse distribution.

  • +2 years Import/Export Knowledge.

  • Successfully completed apprenticeship as an office management assistant or equivalent educational experience.

  • Coordination of out and in-bound shipments with carriers and customers.
